Many clients, especially larger firms, wish to have the data held in their legacy systems extracted, labelled and exported to their new BHL Insight system.  BHL provides a number of data conversion and migration options:
  •  Fixed Fee A
  •  Fixed Fee B
  • Time and Materials

Each approach is designed to provide a predictable outcome at a predictable cost.  Actual cost estimates are available on application.

Fixed Fee Data Migration A (FFDMA)

FFDMA is provided when the client or its consultants provide data to BHL Insight in our standard data interchange file formats.  Clients or consultants are provided with the format and structure of the interchange files (DIFs) and are then be responsible for extracting the data from the legacy database into those formats.  BHL Insight then migrates the data from the interchange files and uploads the data into the BHL Insight database.  Data correction and/or data cleansing are not be performed by BHL Insight.

This is an appealing and low cost approach designed for low cost quotations. In reality, extracting data from a database and putting it into DIFs is a complex task requiring expensive expertise.  A more reasonable approach is FFDMB.

Fixed Fee Data Migration B (FFDMB)

 FFDMB is provided when BHL Insight or Authorised Consultants extract data from the client’s database, cross-reference that data with the BHL standard data interchange file formats and upload the data so that it is usable in BHL Insight as a means of training and then going 'live'. Clients must sign off on the quality of the data transfer before going live. The quality of the data depends on a number of factors and cannot be absolutely guaranteed until initial trials are run.  Usually there are two or three iterations of this process, and clients are asked to decide if they prefer to edit the data in the legacy system or in BHL. Usually clients do some editing before the final data transfer and more editing after the transfer.  Data correction and/or data cleansing would not be performed by BHL in the legacy system, but post transfer, BHL will help with editing records en masse if required.  The usability of the data transferred is always a function of the quality of the original data, but pre-conversion training and testing will reveal that to you. 

 This is the recommended form of data transfer for firms that have too much data to enable parallel processing as a means of establishing a new system.

Time and Materials

 Sometimes clients have complex data conversion requirements, possibly involving more than one type of database or more than one live accounting system. In such instances, BHL Insight or Authorised BHL Consultants will be able to provide an estimate of required conversion services following a data mapping requirements workshop as part of the initial project planning meetings.  From experience this usually takes between 1 and 5 days depending on the complexity of the conversion.

Issues such as the quality of your data, and the depth of requested conversion services would be taken into account.  

The conversion sub-project could consist of:

  • Detailed data mapping of the Legacy data to BHL Insight database format.  This will include your input to identify the use of any special user defined Legacy data fields.
  • Data Export from existing Legacy database to Access.
  • Data mapping and extraction from the Access database.
  • Creation and establishment of conversions database.
  • Conversion design, coding and testing.
  • First Trial Conversion and review
  • Onsite Review and audit of 1st trial conversion
  • Amendments to trial conversion
  • Second Trial Conversion
  • Onsite review and audit of 2nd conversion
  • Sign off of conversion

Time and Materials is appropriate where clients want BHL to be involved in data cleansing and where clients have a budget that enables them to aim for a higher quality transfer at greater cost.
